Who we are
Red House Residential Home is run by Clonway Care Limited, a company registered in England and Wales, company number 15742305. Our registered office is The Red House, Tavistock Road, Yelverton, PL20 6EF. We decide how the information described here is used, which makes us the “controller” under data protection law. Clonway Care Limited is registered with the Information Commissioner’s Office. Our registration number is ZB775054.
This notice covers people who contact us or visit this website. If you live at Red House or work for us, separate privacy notices for residents and staff explain how we use your information.
What we collect
When you enquire, by our website form, phone, email or a Facebook or Instagram form, we collect:
- your name, email address and phone number;
- how you heard about us;
- anything you tell us in your message, which may include the health, needs and circumstances of the person who needs care;
- the date and time, and technical details the form records to stop spam, such as your IP address.
When you visit this website, and only if you accept cookies, Google Analytics and Google Ads record the pages you view, how you reached us (for example, from a Google advert), your device and your approximate location. Our website host, WordPress.com, keeps basic visit statistics such as page views.
Why we use it, and our legal basis
- To reply to your enquiry, call you back and give you a quote: our legitimate interests in answering people who contact us. If you are arranging care for yourself, it is also a step towards a contract you have asked about.
- Health information you choose to share: used only to understand whether Red House can meet the person’s needs, as the law allows for health or social care purposes (UK GDPR Article 9(2)(h) and Data Protection Act 2018, Schedule 1, paragraph 2). You don’t have to give health details in a first enquiry. If you tell us about someone else, please let them know, where you can.
- To keep a record of enquiries and see which adverts bring them: our legitimate interests in running and improving the home.
- Occasional emails about news, open days and vacancies: only if you opt in. You can unsubscribe at any time.
- Analytics and advertising cookies: only with your consent, given or refused through our cookie banner. Change your choice at any time with “Cookie settings” at the foot of every page.
- To meet our legal obligations and deal with complaints or legal claims.
We do not sell your information or make decisions about you by automated means alone.
Who we share it with
Suppliers who handle information for us under contract and only on our instructions:
- Google: our email and enquiry spreadsheet (Google Workspace), and, if you accept cookies, Google Analytics and Google Ads.
- Automattic (WordPress.com and Jetpack): hosts this website, stores form messages and checks them for spam.
- Meta (Facebook and Instagram): if you answer one of our adverts using a Meta form, Meta passes your details to us. Meta’s own privacy policy covers what you do on its platforms.
We will only share your enquiry with anyone else, such as a social worker or GP, if you ask us to or the law requires it.
Some suppliers store information in the United States. These transfers are protected by UK adequacy regulations (the UK-US “data bridge”) or contract terms approved by the Information Commissioner.
How long we keep it
- Enquiries that don’t lead to someone moving in or staying: deleted 12 months after our last contact.
- If the person comes to Red House, the enquiry becomes part of their resident record, covered by our resident privacy notice.
- Marketing consent: until you withdraw it. We then keep a short note of your opt-out so we don’t contact you again.
- Google Analytics data: up to 14 months.
Your rights
You can ask us to give you a copy of your information, correct it, delete it or limit how we use it. You can object to how we use it, stop marketing at any time, withdraw consent where we rely on it, and, where it applies, ask for your information in a format you can pass on. This is free. We reply within one month, or up to three months for complex requests, and will tell you if we need longer. We may ask you to confirm who you are.
Complaints
If you are unhappy with how we have used your information, please tell us first. We will acknowledge your complaint within 30 days and reply as soon as we can. You can also complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint, 0303 123 1113, or Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF.
